
Electronic Expenses ClaimsThe Advanced 365 developed expense claim process has been designed using Windows SharePoint Services and Microsoft InfoPath Form Services to automate the expense claim creation and approval processes and to reduce data entry duplication. By utilising information stored in Active Directory the process automatically routes claims to the appropriate manager for approval. The expense claim review and approval processes is integrated into Microsoft Outlook allowing the process to be delivered via a platform used every day - email - further streamlining the claim process.
Expense claims are created via an electronic form using Microsoft InfoPath Forms Services allowing anyone within your Active Directory to raise an expense claim. Claims can be updated over a period of time and saved throughout the claim period until they are ready to be submited for approval. Once submitted, the claimants Manager will be asked to approve the claim via an automated notification email. When approved, the system routes the claim to a Director for approval. Once approved by a Director, the claim will be passed to the finance department for processing. All these processes are governed information stored in your Active Directory.

Throughout this process, claims progress can be monitored from the 'My Claims' page. Users can perform different roles within the expense claim process depending on their position within the organisation. For example, a Claimant may simply raise claims, submit them for processing and monitor them through the process. Alternatively, if the Claimant is the Manager for other employees in the organisation, they may raise their own claims for processing (acting as a Claimant) whilst approving claims for their direct reports (acting as a Manager).

Once submitted and approved, the application provides a rich BI reporting capability that allows both OLTP and OLAP reporting to be undertaken. This included missing timesheet reporting, invoice preparation, department cross charging, utilisation reporting and tracking and customer / project analysis.
